This is the same structured rollout I use with enterprise clients — condensed into a 5-phase system a solo operator can actually execute. Most AI implementations fail in month one because they skip Phase 1. Don't do that.
Work through these phases in order. Each one builds on the last.
Time Audit — Do This Before Touching Any Tool
You can't automate what you haven't mapped. This step tells you exactly where AI will pay off fastest.
YOUR AUDIT CHECKLIST
- List every task you do on a weekly basis (set a 10-minute timer)
- Flag anything you repeat more than 3x per week
- Flag anything that takes over 45 minutes but generates no direct revenue
- Sort: high time + low skill = automate first
- Identify your single biggest time drain — that's your Week 1 target

Pick Your Top 3 Targets
Enterprise clients see the fastest ROI from these six categories. Pick three — no more. Trying to automate everything at once kills adoption.

Build Your Workflows
This is the phase where most implementations fail. People buy tools, open a blank prompt box, type something vague, get a generic result, and quit. The fix is structure — not a better tool.
THE PROMPT FORMULA THAT WORKS
"You are [role]. My customer is [type]. My business does [what you do]. Write [specific output] in a tone that is [adjective]. Avoid [what you never want it to say]. Format the output as [format]."
YOUR WORKFLOW BUILD CHECKLIST
Write your first prompt like you're briefing a new hire — context, role, specific output
Save every prompt that works in a Google Doc — this is your prompt library, and it's worth money
Build one automation per week — connect AI to a system you already use (email, CRM, calendar)
Test output before trusting it — send one AI-drafted email before you automate 100
EXAMPLE — PROPOSAL AUTOMATION
"You are a business development consultant for a [type] company. A prospective client has told me: [paste enquiry]. Write a proposal outline covering: the problem we're solving, our approach, timeline, and a suggested investment range. Keep it under 400 words. Tone: direct, confident, not salesy."
Measure at Week 4
Most people never measure. Then they wonder why they can't justify the subscription cost. Track three numbers only:
Hours saved vs. Week 1
Target: 5 hours minimum in the first 30 days. That's 60 hours a year.
Revenue-generating work you can now take on
What's the value of the hours you freed? Assign a number.
What broke — document it
Every failure is a prompt refinement. Log it and fix in Month 2.
